Library Policies & Procedures: Donations Procedure

A listing of library policies and procedures

Donations Procedure

Document Title:                               Donations Procedure

Applies to:                                         All Library Patrons

PURPOSE

To provide a service for accepting donated books, journals, and media from the Bellevue University community.

PROCEDURES

Considerations and Criteria:

Bellevue University Library recognizes that donated materials come in all forms and conditions and although the items are “free,” the library will determine what is appropriate to add to the collection. Patrons will receive a thank you letter and a copy of the completed donation form. Bellevue University does not keep lists of items donated nor does it assign any value on donated items for tax purposes. If donated items cannot be delivered to the library, Bellevue University can arrange for pick-up of materials. This arrangement will need to be made in advance.

  1. Donated materials are added to the collection if they are in good condition, relevant, and support the curriculum and educational needs of Bellevue University patrons.
  2. Book plates with the donor’s name will be added to the materials unless the donor chooses to remain anonymous.
  3. Materials that are not deemed appropriate will be placed in the next book sale, or recycled if in poor condition.
  4. Materials will be processed by the Technical Services Librarian within 48 hours of receipt during normal business hours (Monday-Friday, 8 a.m. – 5 p.m.)
  5. Once materials are donated and accepted by library staff, they are considered property of the library and will not be returned.
